Administrative Assistant - Sales and Marketing
What you'll do
- Sales & Delivery Support:
- Maintain and improve the quality of internal and client-facing resumes.
- Support proposal kick-off and close-out activities.
- Provide administrative support to internal sales projects and reporting.
- Assist with engagement events and special initiatives.
- Use tools like MS Forms and Medallia for internal surveys.
- Provide backup coverage for Reception when needed.
- Proposal & Business Development Coordination:
- Research and identify opportunities on procurement sites (e.g., MERX, Biddingo).
- Analyze RFx requirements and support the end-to-end proposal response process.
- Schedule and facilitate meetings with sales teams and subject matter experts.
- Edit, format, and finalize submission documents aligned with Online's brand.
- Maintain archives and reusable proposal content libraries.
- Track win/loss metrics and contribute to continuous improvement initiatives.
What we'd like
- 2–5 years' of experience in administrative support, proposal coordination, or related roles.
- Experience supporting sales or delivery teams in a professional services or IT environment.
- Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint) and Adobe Creative Suite.
- Strong writing, editing, and formatting skills with exceptional attention to detail.
- Ability to manage multiple projects simultaneously and meet tight deadlines.
- Experience with RFx processes and procurement portals is an asset.
